Business Centre Receptionist

Role Purpose Statement:

Ensure highest possible standard of service for or members and guests fulfilling their requirements and needs. Ensure the efficient running of the Simms Centre by handling all enquiries and requests professionally and efficiently and to meet and exceed the member’s demands and expectations at all times

Main Accountabilities:

Department Budget

  • Ensure members receive the best value for money as possible/on offer when purchasing a product
  • Maximise usage, occupancy and revenue of the business centre promoting its facilities, products and services

Service Delivery/Operations

  • Ensure members are offered different room type category in order for them to choose the best suited for their needs
  • Answer the telephone using the proper telephone etiquette, always answering promptly and in a courteous manner, as described in the Standards of Performance manuals
  • Ensure the Simms Centre is kept clean and tidy at all times and to maintain a clean and well supplied food & beverage service. Ensure the rooms are set-up correctly to the Member’s needs prior to their arrival

Service Quality

  • Ensure all member queries and/or complaints are passed on to the appropriate manager/supervisor immediately giving a thorough synopsis of the issue
  • Ensure all reservations are correctly entered in the system double checking dates, times, number of people, preferences as described in the Standards of Performance manuals
  • Ensure all reservation by emails or by phone are replied to promptly and efficiently, on the same day of receipt or within 24 hours

Health and Safety/Compliance

  • Ensure you attend all Health and Safety training as directed by your manager in order to be fully compliant with Health and Safety legal requirements
  • Report all accidents and hazards to your manager/supervisor and be fully conversant with the fire policy and fire panel

Key Data:

  • Good understanding of Opera/Fidelio systems, Word, Excel and Concept
  • Customer service training
  • Telephone techniques training
  • Accurate typing skills
  • Good business writing skills
  • NVQ in customer service or similar

Knowledge

Desirable:

  • At least 12 to 18 months in a luxurious establishment of similar standards
  • Experience of coordinating functions/events

Skills and Abilities
